How to organise support worker compliance records
A useful compliance record explains what applies, what evidence was received, who reviewed it, when it expires and how it affects the work the person can be assigned to do.
Define organisation-specific requirements
Do not create one global checklist for every worker. Record which qualification or screening requirement applies to the role, team, location, employment context or organisation policy.
Keep source evidence with the record
A certificate number or expiry date is more useful when an authorised reviewer can open the supporting document version. Preserve earlier versions when a worker submits a renewal.
Separate extraction from verification
Document intelligence can reduce re-keying by preparing a suggestion. It cannot prove that a credential is genuine or current. Keep uploaded, review-required, verified, expired and rejected states distinct.
Monitor the next action
Use expiry reminders, review queues and roster impact findings to make the next action visible. A high completion percentage should never override a mandatory requirement that is missing or unverified.
